Summary:
The Accounts Payable Specialist is responsible for performing and analyzing accounts payable duties; including entering and posting business transactions, processing invoices and credits, and verifying financial data for use in maintaining accounts payable records in a timely manner. The Accounts Payable (AP) Specialist role requires the ability to effectively handle multiple assignments simultaneously, excellent customer service, time management, organization, detail-oriented skill, and strong written and verbal communication.
Essential Duties/Responsibilities:
Maintain meticulous records of outstanding payables including but not limited to invoices, check requests, expense reports, debit memos, and credit memos Ensure the accuracy of the financial documents for payment Protect business against unintentional overpayments and fraudulent requests Perform effective communication with all internal employees and external vendors, in a timely mannerAudit Accounts Payable batches to confirm accuracy of data including but not limited to the vendor, invoice number, date, totals, terms, and General Ledger codingClarify any questionable invoice items, prices, or authorized approval signaturesAnalyze and store reconciled vendor account statements on a monthly or quarterly basis, to ensure payment accuracyPerform analysis on inventory invoices using three-way match research - identify, resolve, or escalate complex exceptionsProvide ad-hoc reporting as necessaryProvide other clerical support necessary to pay the obligations of the organizationAssist in the monthly close as necessaryAssist with special projects as assigned by SP Richards staff members

Qualifications:

Education/Experience:
Bachelor's degree or minimum two years' experience in Accounts Payable environment. Fundamental working knowledge of Accounts Payable practices, tools, and procedures.
Language Ability:
Ability to read, analyze, and interpret payables data. Ability to respond to common inquiries or complaints from vendors or members of the SP Richards business community. Ability to effectively present information to management and auditors.
Math Ability:
Ability to apply mathematical operations, including the calculation of discounts and percentages. Functional understanding of balancing control totals and voucher batches. Ability to work with large totals.
Reasoning Ability:
Ability to define problems, collects data, establish facts, and draw valid conclusions. Ability to organize and prioritize as well as exercise good judgement with confidential information.
Computer Skills:
Intermediate to advanced Microsoft Excel is desirable, Word processing, Spreadsheets, Accounting software, E-mail, Peoplesoft experience is a plus. Familiarity with using multiple servers to store data.
