Description: Job Summary
The Accounting Assistant will support innovative research at the world's leading public health research institution. Areas of research are focused across nine academic departments which include Biostatistics, Environmental Health, Epidemiology, Global Health & Population, Health Policy & Management, Immunology & Infectious Disease, Molecular Metabolism, Nutrition, and Social Behavioral Sciences. The Accounting Assistant may primarily work with the Department of Environmental Health, but will have the opportunity to be exposed to research happening across the school.
Position Description
The Accounting Assistant is an integral part of the research enterprise and will work directly with the Financial Associate to perform a variety of accounts payable and accounts receivable duties in a timely, professional, courteous and collaborative manner. They will also work in close partnership with faculty assistants, grant managers, and vendors. The position will be reporting to the Assistant Director of Administration. The department has a wide variety of transactions that can involve international payments/receipts, wire transfers, direct deposits and can have tax or export issues. Some of the issues are complex and may require collaboration with other school/University units to ensure completion in compliance with laws and regulations. Departmental AP requests are managed via centralized AP E-mail Inbox that this roll will review daily and will timely process all incoming requests.
Duties and responsibilities include, but are not limited to, the following:Daily review of centralized Accounts Payable inbox and timely processing of all incoming AP requestsProcessing of vendor setup requestsProcessing of invoicesProcessing of reimbursementsProcessing of honorarium paymentsProcessing journal entriesCreating accounts receivable invoices in Harvard University's accounts receivable systemAlong with the Financial Associate, serve as first line of approver for all department Concur reports/reimbursementsParticipating in and assisting with development and implementation of accounts payable and accounts receivable process improvements within the departmentServing as a resource for HU, SPH, sponsor policy and guidelines for purchasing compliance in B2P (AP system)Keeping the Financial Associate and the Assistant Director of Administration appraised of any issues and thus contributing to smooth day-to-day operations within the departmentContributing to departmental goals by performing other related duties as assigned
Basic Qualifications
3+ years of related experience is required; a combination of education and experience may be considered
