Job Summary

Reporting to the Assistant Bursar, the Student Account Specialist is responsible for the collection of debts owed to the university by students, former students, vendors, or outside agencies in the Bursar's Office. Refers uncollectible receivables and loans to third party collection agencies and/or Department of Education. Assists with identifying accounts to be referred to the Franchise Tax Board and preparing Perkins Loans Total and Permanent Disability paperwork for management's signature. Communicates Bursar's Office policies and procedures in a clear and concise manner and provides quality customer service to students, parents, staff, sponsor and departments through a variety of communication modes.

Key Responsibilities

  • Resolve aged receivables and delinquent Perkins Loans, Kuhlman Loans, Dream Loans following collection policies and procedures
  • Refer uncollectible receivable accounts to outside collection agencies or for write-off
  • Refer defaulted Perkins accounts to third party collection agencies or to assign to the Department of Education
  • Refer uncollectible Kuhlman and Dream loans to third party collection agencies
  • Assist with the referral of delinquent accounts to the Franchise Tax Board for the agency intercept program
  • Communicate with students, parents, employees and external agencies to provide information on student account activity
  • Perform duties with a focus on customer needs, provide quality standards for services, and strives to exceed the customer's expectations
  • Consistently portray a positive and professional image
  • Communicates Bursar's Office policies and procedures in a clear and concise manner
  • Educate students how to better utilize the system to ensure deadlines are met and classes are secured
  • Assist with enrollment cancellation for past due receivables

  • Thorough knowledge of methods, procedures and practices
  • Ability to compose and appropriately format correspondence and reports
  • Ability to perform accurately in a detail-oriented environment
  • Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies
  • Ability to quickly learn and apply a variety of state, federal, CSU, and SJSU policies and procedures.

  • Excellent customer service and public relations skills
  • Must be dependable and available to work overtime, possibly on Saturdays, during registration and peak periods
  • Ability to communicate with constituents in a professional and respectful manner

Required Qualifications

  • Equivalent to three years of increasingly responsible financial record-keep experience, including two years in collections, lending or a related area or any combination of education and experience, which provides the required knowledge and abilities

Preferred Qualifications

  • Bachelor's Degree
  • Experience applying a variety of state, federal, CSU, and SJSU policies and procedures
  • Experience with PeopleSoft Student Financials or a student financials module

Compensation

Classification: Collections Representative II
Anticipated Hiring Range: $4,125/month - $4,386/month
CSU Salary Range: $3,505/month - $5,985/month

Satisfactory completion of a background check (including a criminal records check) is required for employment.
